API integration development that survives ordinary failures

An API integration is easy to demonstrate when both systems are available and the sample record is perfect. Production work begins when requests time out, fields change or the same operation arrives twice. A useful engagement defines how information moves, which system owns it and what an operator can do when the automated path fails.

Specify ownership and direction

Write down the source of truth for each important field. A customer address may originate in a CRM, while a payment state belongs to the billing provider. Bidirectional synchronization needs explicit conflict rules; otherwise two systems can repeatedly overwrite each other. Define identifiers, timestamp semantics and deletion behavior. Decide which records are eligible for transfer and whether historical data is part of the project. A mapping table with realistic examples often exposes more uncertainty than the first implementation. It also gives business stakeholders a concrete document to approve before integration code starts moving live records.

Design for retries and uncertainty

A timeout does not establish that the remote operation failed. The other system may have completed the work before the connection closed. Use supported idempotency mechanisms or a local operation ledger where appropriate. Distinguish retryable errors from invalid data and permission failures. Apply bounded retries with delay rather than an endless immediate loop. Plan rate limits and credential rotation without embedding secrets in application code. Where the remote API cannot provide a reliable event stream, specify a reconciliation process. This additional work can be essential to correctness even when the initial happy-path request is only a few lines.

Make failure actionable

Deliver an integration contract, test fixtures, implementation and an operator-facing account of failed work. An error message should identify the affected operation and next safe step without exposing private payloads or credentials. Acceptance includes a duplicate request, an expired credential, a rate-limit response and an interrupted connection. Verify that records can be reconciled after recovery and that manual retries do not create duplicates. Use a sandbox or controlled fixture for destructive operations. A green response from one test endpoint is evidence of connectivity, not proof that the business process will remain consistent under failure.

Document rate and payload limits as part of the integration contract. A workflow that succeeds for one small record may fail during a historical import, so the release plan should explain how larger transfers are divided and monitored.

Contain the initial scope

Begin with one valuable data flow before joining every object in two platforms. Sometimes a scheduled import with clear reporting is safer and cheaper than immediate two-way synchronization. Sometimes users need near-real-time updates and the extra operational machinery is justified. Arte Soft’s published applications demonstrate product delivery involving external services, but each third-party contract must be assessed on its own terms. Bring API documentation, example records and the manual process you want to replace. We can scope the integration around a measurable outcome, including what happens when automation cannot safely complete the work.
