Retrieval app integration: answer from documents with permission boundaries
A document assistant should retrieve the right material for the right person and show what supports its answer. Uploading files to an index is only one part of building that experience.
Define the document collection and its owners
List the content sources, supported formats and people allowed to see each collection. Identify who can upload, replace and delete documents. Separate public manuals from customer-specific records before choosing an indexing design. Access control must apply before retrieval, not just when rendering a citation, because an answer may already reveal restricted information even if its source link is hidden.
Plan for stale and conflicting material
Documentation changes over time, and two files may disagree. Preserve version and publication metadata where it helps the user understand the source. Define replacement behavior and how quickly a removed document stops influencing answers. Test a policy update while old material is still present. Without a freshness rule, a technically successful search can produce the exact outdated instruction the project was supposed to eliminate.
Evaluate retrieval before polishing generation
Build questions whose answers exist, questions that require several passages and questions with no answer in the allowed collection. Inspect which passages were retrieved, not only the final prose. A convincing reply can conceal irrelevant evidence. Conversely, a correct passage may be poorly summarized. Separating those failures prevents endless prompt changes when the underlying document preparation or query selection is the problem.
Make citations usable
Source references should lead to a document and, where feasible, a meaningful location rather than an inaccessible internal identifier. Check whether the person asking can actually open the source. Clarify when the assistant is making a general suggestion instead of reporting a documented fact. A refusal or clarification can be more useful than a fluent answer when the available material does not establish the requested information.
Scope the first delivery around a bounded collection
Choose one document family and one user group. Include ingestion, permission tests, an answer screen, feedback capture and an evaluation set. Agree whether customer files can leave your environment and how deletion requests propagate to indexes and logs. Estimate operating cost using realistic document sizes and query patterns instead of assuming a small demonstration collection represents the final workload.

- Which source should win when two allowed documents disagree, and can the answer expose that uncertainty to the reader?
- How is a removed file excluded from future answers and from previously generated previews or derived indexes?
- Can a user from one customer group obtain another group’s material through a direct question, a document instruction or an apparently harmless follow-up request?
Set expectations for product evidence

A discovery engagement should establish the collection, identify sensitive material and produce a tested answer-and-citation prototype. The handover needs a refresh procedure and a clear owner for source quality, because no retrieval architecture can keep obsolete or contradictory documents accurate by itself.
